How to respond to a bad Google review
Reply once, in public, within a day or two. Thank them, own what is true, and move the details to a phone call. Never argue.

Short answer
Reply to a bad Google review once, in public, and keep it short. Thank the customer, say what you will do about it, and take the details to a phone call. This applies to any owner or office manager who just read a one-star review and wants to answer it the right way.
If you searched "how to respond to a bad review on Google", you are probably angry, and the review is probably sitting at the top of your listing. Wait until you are calm before you type anything. The reply is not written for the person who left the review. It is written for the next homeowner who reads it.
Why a bad review feels worse than it is
Anyone can read your reply. Google's help page says a reply is posted publicly under the review, and it shows as coming from your business, not from your personal name.
That means a future customer sees two things, the complaint and how you handled it. A calm reply tells them how you treat people when a job goes wrong. A defensive reply tells them the same thing in the other direction.
What you need before you can reply
Google's help page says you must verify your business before you can reply to reviews. If your profile is not verified, you will not see the reply option.
The same page says Google reviews each reply before it is posted. It can take up to 10 minutes, and sometimes up to 30 days. If a reply is not approved, you are asked to edit it, so keep the wording plain and free of anything that reads like an attack.
How to respond to a bad review on Google
Do this from your phone or your computer once you have cooled off.
- 1Open your Business Profile on Google.
- 2Select Read reviews.
- 3Find the review and select the reply option under it.
- 4Paste in a short reply and send it.
- 5Check back later to confirm it shows under the review.
The reviewer is notified when you reply, according to Google's help page. Write as if they will read every word, because they will.
A reply you can copy and adjust
Use this as a base. Change the bracketed parts so it matches what actually happened, and delete any line that is not true.
Copy and use
Hi [first name], thank you for telling us about this. I am sorry the visit on [date] did not go the way you expected.
I would like to understand what happened and fix what we can. Please call me directly at [your direct number] or email [your email].
We take every complaint seriously, and I will personally look at the job notes before we talk. [your name], [business name]
Keep it to a few lines. A long reply that argues each point reads as a fight, and nobody scrolling on a phone will finish it.
How to handle the details of the complaint
Do not put the full story in the reply. Move the real conversation to a call.
- 1Start by reading the job notes and any photos from the visit.
- 2Call the customer before you write anything long.
- 3Offer to come back and look at the work if there is a real problem.
- 4Thank them for the chance to fix it, even when you disagree.
- 5Never name the customer's address, price or job details in a public reply.
Google says you can edit or delete your reply later, so a short reply now does not lock you in. Open Read reviews, select the edit icon under your reply, change the text, and select Update.
When to flag the review instead of replying
Google's help page says only reviews that violate its policies are eligible for removal. It also says not to report a review just because you disagree with it or dislike it.
If the review contains spam, profanity or something that clearly breaks the rules, you can report it. Open Read reviews, select Report next to the review, choose the reason, and select Send report. Google says evaluation typically takes several days.
If a customer is simply unhappy, flagging will not remove the review. Reply to it.
Rule of thumb
If the review describes a real problem with your work, reply and fix it. If not, and it breaks Google's policy, report it and still post a short, calm reply while you wait.
What this will not fix
A good reply helps, but it has limits.
- It will not remove the review. Only a policy violation does that.
- It will not change the star rating. Only new reviews move your average.
- It will not win back an angry customer who has already decided.
- It will not make up for a job that was done badly.
Common questions
Should I reply to every bad review?
Yes, once, and keep it short. A reply shows future customers how you handle problems, and ignoring a complaint leaves only the complaint on your listing.
How fast should I reply?
As soon as you are calm and have the facts. Google reviews each reply before it appears, so a quick reply still takes time to show.
Can I change my reply after I post it?
Yes. Google's help page says you can edit or delete a reply from Read reviews, then select Update after you edit it.
Can I get the review taken down if it is unfair?
Only if it breaks Google's policies. Google asks owners not to report a review just because they disagree with it.
